New features of the Total Property platform

In this chapter we cover the new features of the platform such as how to download your protection history, prescribed information and export payment history on the new Total Property platform. Watch the videos below or follow our step by step guide to protect your deposit.

How to download protection history

1. Login to the Total Property platform

2. Select 'Deposits' from the menu on the left side

3. You're now able to view all of your deposits, to download please click the 'Export CSV' button at the top

4. Now choose which office this relates to

5. Confirm export

6. All of your protections are now downloaded into an Excel spreadsheet

How to download the prescribed information

1. Login to the Total Property platform

2. Select 'Deposits' from the menu on the left side

3. Now you can search for the deposit by using the deposit ID, property address, landlord's name, tenant's name or the protected amount

Remember: The deposit ID is the EWC number for new tenancies

4. Scroll to the bottom of the page where it shows the prescribed information and select it

5. Your prescribed information has now been downloaded into a PDF which you are able to save

How to download payment history

1. Login to the Total Property platform

2. Select 'Payment history' from the menu on the left side

3. You'll now see all of the incoming and outgoing payments on the account

4. To download, click the ‘Export CSV’ button at the top right of the dashboard

5. You'll now be able to see your payment history in an Excel spreadsheet

Single release process

When you have initiated a release with settlements the tenant will have 14 calendar days to respond.

Please note: If they fail to respond you will be able to login to your account and initiate the single release

You'll need to complete the declaration by confirming the statement and then providing us with up to date contact information for the tenant. You can also confirm that the information we hold is up to date.

Top tip: Once you have completed the declaration a PDF will automatically be generated of the statutory declaration

The pre-populated statutory declaration will need to be signed by yourself and witnessed by a solicitor, commissioner of oaths or magistrate.

Remember: If your witness is overseas we need a business card or stamp in English

You can then upload this to your online account under the release request tab and this will notify us at mydeposits.

The team at mydeposits will then review the document and either accept or reject the document based on set criteria.

If the document is rejected there will be comments explaining the reasons why it has been rejected.

Please note: You'll then need to rectify this and re-upload the document

If the document is accepted, there will then be the final 14 days for the tenant to respond. This is calculated from the date of acceptance.

How to upload my signature for pre-populated prescribed information

1. From your dashboard homepage select 'agency' on the left hand side

2. Scroll down to the bottom of the page to the signature section

3. Click on the pen icon next to signature, this will allow you to upload your signature

4. Select the camera icon and choose your signature from your files to upload to the Total Property platform

Top tip: You are able to move your signature to the left/right and zoom in to make sure this fits correctly

5. Click the blue upload button and insert the first and last name of the person's signature

6. Click the blue save button at the bottom

Remember: If you add your signature to the platform this will be automatically included on the prescribed information certificates
